Technical tips for using Clocktree

Clocktree telehealth is web based and should work on any modern computer or mobile device with a camera. Access Clocktree via browser, no matter what device you are using.  Preferred browsers are:

  • PC (Windows): Google Chrome
  • Android tablet or phone: Google Chrome
  • Mac (Desktop or laptop): Google Chrome or Safari
  • iPhone or iPad: Safari

In many cases, Clocktree will work on other browsers such as Edge or Firefox, however we recommend Chrome or Safari for the most reliable video and audio connection.

It’s also important that both ends of the video call have sufficient internet speed. You can test your internet speed at www.speedtest.net  This gives you three speed metrics for ping, download and upload. The upload speed is the most crucial for video conferencing and it should be above 5 Mbps for a good connection.

Some tips for maximizing your internet speed are:

  1. Connect your computer to the router via ethernet cable, as opposed to WiFi, if possible.
  2. If using WiFi, position yourself as close as possible to your router.
  3. Avoid streaming content from the internet on other devices connected to your network – you share bandwidth so let your Clocktree connection use all of it!
  4. Restart your computer right before your Clocktree session and don’t open other software or apps that might use internet or processing power in the background.

And finally, make sure your camera and microphone are functional and check your lighting and background prior to a video call.  To do this, log in to your Clocktree account and select Test Audio/Video.

Make a Great First Impression on New Clients

Clocktree is excited to let you know that we are launching a service soon that helps prospective clients find and connect with you on Clocktree.

This is a huge benefit to Clocktree members, as clients will be able to find experienced telehealth providers like you, and you will gain new customers who want to meet with you online. Win-win!

ACTION NEEDED: Make sure your Clocktree profile is complete and represents your practice well. Your Clocktree profile is an important part of your web presence and will be the first thing a client sees when they find you in the Clocktree Directory.

Here are instructions for updating your Clocktree profile. The Admin on your Clocktree practice can update your practice profile.  Each provider can update their own provider profile.

New Client Self-Registration is Now Available

Clocktree is making it easier for your practice to register new telehealth clients!  A prospective client can visit your Clocktree practice profile, click “Contact Us” and send you a new client request without first receiving an invitation. You have the ability to approve or deny that request.  Once you approve the client’s request, they are fully registered as a client of your practice. They will appear in your current client list, and you are ready to communicate with them on our secure, HIPAA compliant platform.

Of course, you still have the option to send an invitation to a prospective client yourself.

This change opens up new opportunities for marketing your telehealth services. You can add a button and link to your website, marketing emails, social media, or anywhere else you mention your telehealth services.

Contact Us on Clocktree

A prospective client can click the button and go directly to the signup form on your Clocktree practice page. To find instructions for publishing this new button on your website, look on your Admin dashboard in Clocktree. The graphic and your unique link can be copied from there.

Your client can complete the simple form to create their own Clocktree account. The next step (below) is where they request to be your client.  They also have the option to send you a message as part of this request.

Managing new client requests

You will receive an alert when you have a new client request.  On the Clients tab, the client list is now separated into 3 categories – Current, Deactivated, and Prospects.  New client requests are under the Prospects category, with a button to Approve or Deny each request.

You may also communicate with the prospective client using our secure messaging service to get more information prior to approving or denying the request. You can do this by clicking on the requester’s name.

All providers in your practice (who have access to the Clients tab) have the ability to approve or deny these requests.

Any provider in your Clocktree practice can also be set up to receive a notification when your practice gets a new client request.  The Admin(s) on your Clocktree practice controls this by assigning providers to the “Contact Us” service.  Here are the steps:

  1. Log in as an Admin.
  2. Click your Profile tab.
  3. In the lower right corner of your banner image, click the “Edit” button.
  4. In the popup, click “Assign Providers” and put a checkmark next to each provider who should receive notifications of new client requests.Screen Shot 2018-11-12 at 1.26.13 PM
